Every major affiliate conference can cost a company five or even six figures once you add up tickets, flights, hotels, booths, sponsorships and team hours.

And yet, many teams still prepare like this:

✈️ Book the flights
️ Get the tickets
Order the booth
“We’ll figure out the meetings when we get there”

That’s probably the fastest way to turn a serious investment into a folder full of booth photos.

We’ve just put together a practical checklist for affiliate, PR and SMM teams preparing for conferences.

A few things that can make a real difference:

→ Set measurable goals 6–8 weeks before the event
→ Calculate ROI beyond direct deals
→ Lock in collaborations before everyone’s calendar is full
→ Build the content plan in three stages: before, during and after
→ Give PR and SMM visibility into the meeting schedule
→ Prepare follow-ups before you even fly out

One of the biggest mistakes, in our opinion, is treating a conference as the affiliate manager’s responsibility only.

Affiliate managers build partnerships.
PR builds visibility and media opportunities.
SMM turns meetings, collaborations and announcements into content and reach.

When these three teams prepare separately, a lot of potential ROI gets lost.

When they prepare together, one conference can generate partnerships, media coverage, content and leads that continue working for weeks after the event.
